1. About rel-ease

rel-ease is a business hub platform that helps businesses manage communications, contacts, website content, live chat, forms, bookings, products, invoices, estimates, files, projects, automations, reports and related business workflows.

This Privacy Policy explains how rel-ease collects, uses and protects personal information when people visit our website, register for an account, use a rel-ease workspace, connect third-party integrations, or interact with a customer-facing website powered by rel-ease.

2. Information we collect

We may collect and process:

- Account information, such as name, email address, password hash, company name, login status and team membership.
- Business profile information, such as business name, website, contact details, logo, branding, settings and subscription choices.
- Workspace content, such as contacts, conversations, emails, live chat messages, social messages, notes, tasks, files, forms, calendar events, products, invoices, estimates, reports and website content.
- Integration information, such as connected account identifiers, tokens, page IDs, mailbox settings, calendar settings and payment identifiers.
- Payment and billing information, such as selected modules, seat counts, Stripe customer IDs, subscription status and payment events.
- Technical information, such as IP address, device/browser information, page activity, session data, logs, error reports and security events.
- Support information, such as messages sent to support, feedback, screenshots, diagnostics and related communication.

3. How we use information

We use information to:

- Provide and operate rel-ease workspaces.
- Let users sign in, manage teams and control access.
- Route messages into the unified inbox.
- Send replies through connected email, social or messaging channels.
- Provide live chat, Chatflow and email responder features.
- Manage contacts, forms, bookings, products, invoices, estimates, files and projects.
- Display customer-facing websites and landing pages created through rel-ease.
- Process payments, subscriptions, trials and module access.
- Send service emails, confirmations, reports, alerts and support messages.
- Improve reliability, usability, security and performance.
- Investigate abuse, security issues or suspected misuse.
- Comply with legal, regulatory, accounting and tax obligations.

4. Customer data and workspace data

Businesses using rel-ease may store personal data about their own customers, contacts, suppliers, team members and website visitors.

For most workspace content, the business using rel-ease is the controller of that data and rel-ease acts as a processor. This means the business decides what data to put into rel-ease and what it is used for, while rel-ease processes it to provide the service.

Businesses are responsible for making sure they have the right notices, permissions and lawful basis for the data they upload or collect through rel-ease.

5. Meta, Facebook and social integrations

Where a business connects Meta, Facebook or other social messaging services, rel-ease may process page IDs, account identifiers, messages, sender details, timestamps and access tokens needed to provide the integration.

rel-ease uses this data only to provide the connected service requested by the business. We do not sell Meta user data and we do not use message content for advertising.

6. Email integrations

If a user connects a mailbox using IMAP, Gmail, Microsoft 365 or another provider, rel-ease may process mailbox settings, message headers, email content, sender/recipient details, attachments and reply history as needed to import and manage email conversations.

Users are responsible for making sure they are authorised to connect the mailbox and process the emails within it.

7. Customer-facing websites

Businesses can create public websites, landing pages, forms, live chat and policy pages through rel-ease.

Visitors to those sites may provide information through forms, bookings, live chat, purchases or other interactions. The business operating the site is responsible for its own customer-facing privacy information, cookie choices, tracking code and legal compliance.

8. Payments

Payments may be handled by third-party providers such as Stripe. rel-ease may store payment status, subscription IDs, customer IDs, invoice references and related billing events, but full card details are handled by the payment provider.

9. Sharing information

We may share information with:

- Hosting and infrastructure providers.
- Payment processors.
- Email, calendar, messaging and integration providers.
- Analytics, logging and security providers.
- Professional advisers where needed.
- Authorities, regulators or legal parties where required by law.

We do not sell personal data.

10. Data retention

We keep information only for as long as reasonably needed for the purpose it was collected, to provide the service, to meet legal obligations, to resolve disputes, to keep security records, or to support backups and audit records.

11. Security

We use reasonable technical and organisational measures to protect information, including account access controls, team permissions, secure hosting practices, token protection and monitoring for errors or misuse.

No online service can guarantee absolute security. Users are responsible for keeping their login details safe and limiting access to trusted team members.

12. Your rights

Depending on your location and role, you may have rights to access, correct, delete, restrict or object to processing of personal data.

If your data is held inside a rel-ease workspace operated by a business, you should usually contact that business first because they control the workspace content.
